### 🌱 1. **Before Anything Happens: Establish Groundwork**
Make sure this exists **before the event**:
- A **Code of Conduct** with a clear consent policy
- A defined **camp values statement**
- A designated **Consent & Accountability Team** (2–3 trusted camp members trained in active listening and trauma-informed response)
- Anonymous and named reporting options (e.g. a QR code form and in-person team)
---
### 🧭 2. **When a Report Comes In: Initial Response**
The person receiving the report should:
- **Thank the reporter** sincerely for coming forward
- Ask if they feel safe right now, and **prioritize immediate needs** (space, support, etc.)
- Ask if they are comfortable talking now, or want to **schedule a time**
- Let them know your camp has a **process** and their report will be taken seriously
- **Document what is shared** (with consent), either by taking notes or writing a summary immediately afterward
---
### 🔐 3. **Privacy and Safety**
- Share information **only with the accountability team**, not the whole camp
- Let the reporter know what you _can_ and _can’t_ do:
- You can talk to the accused
- You can remove someone from camp if needed
- You are **not** an investigative body or authority
---
### 🧩 4. **Internal Review**
The accountability team should:
- Meet privately to review the report
- Ask: Does this involve a breach of our camp’s code of conduct?
- Consider immediate safety: Does the accused need to be removed from certain roles, events, or spaces while this is being processed?
- If appropriate, gather **clarifying info** from others who may have been present (with discretion)
---
### 🧍♂️🧍♀️ 5. **Talk with the Accused**
This must be done with care:
- Approach privately
- State that a report has been made and you’re following your camp's process
- Allow the accused to share their perspective, but **do not pressure a “defense”**
- Reiterate the camp's standards: it’s about behavior, not punishment
---
### 🛠 6. **Determine Camp Action**
Options may include:
- Mediation (if all parties agree and it’s appropriate)
- Behavioral agreements (e.g. “no alcohol use,” “avoid contact with person X”)
- Removal from certain roles or from camp entirely
- Referral to festival-wide accountability or Ranger teams
Let both parties know what steps were taken **within the boundaries of privacy**.
---
### 📣 7. **Close the Loop**
Follow up with the person who made the report:
- Let them know how their concern was addressed (as much as possible)
- Offer further support or resources
- Ask if they have feedback on the process
---
### 🔄 8. **After the Event: Reflect and Revise**
- Debrief with the accountability team
- Did the process work? Were people safe? What needs improving?
- Consider updating your policies or offering a post-event circle
---
### 🧰 Additional Tips:
- Train camp leads and volunteers on **active listening**, **nonviolent communication**, and **basic trauma-informed response**
- Have **flyers or cards** with the camp’s consent policy and reporting info
- Create a **non-retaliation policy**: retaliation for reporting is never tolerated
